Sustainable Screens Scotland
We have designed this site with sustainable web design practices in mind and have referred to the W3C’s Web Sustainability Guidelines. On the site, we are using high contrast colours and neutral palates, minimising media uploads, plugins and number of pages, and we are also aiming to have the site load quickly. If you have any suggestions for how we could improve this site in terms of sustainable web design practices, please let us know.

Privacy Policy
Your personal data
The Glasgow University Software Service and Sustainable Screens Scotland originators Drs Inge Sørensen and Mark Wong, employed at The University of Glasgow, will be what is known as the ‘Joint Data Controllers’ of your personal data processed in relation the Screens Scotland database.  This privacy notice will explain how we will process your personal data.Â
Why we need it
We are collecting your basic personal data such as your name, LinkedIn address, email address, and/ phone number to create an entry for you on the public database. This is in order to make an entry for you. This is publicly available and allows interested partied to contact you. We will only collect the data you yourself provide when you create a profile on the database, and that we need to provide and oversee this service to you. We do not collect any data, other than what you give us permission to via your profile.
Legal basis for processing your data
By signing up to the database you opt in to share the details that you wish to share in order for the public to see your profile and contact you. This is voluntary. You give consent by opting in as you fill out the form to create a profile to join the database. Â
There is no obligation for you to sign up to the database or requirement to provide any information that you do not wish to share. This complies with the UK GPDR Article 6 (a and c).
What we do with it and who we share it with
All the personal data you submit is processed by staff at the Glasgow University Software Service (GUSS), a software development service that sits within the Department of Computing Science at the University of Glasgow.
This is entirely to provide a not-for-profit service to you and the public. We only use the data that you provide and this is automatically published on the Sustainable Screen Scotland website. We do not share your information with third parties.
To safeguard data, we implement strict access controls with role-based permissions to limit who can view and modify information on the website, ensuring only authorised personnel have access to user data based on their role. The website is powered by WordPress and hosted on Digital Ocean at a UK-based data centre. This ensures that your data is protected under GDPR legislation. Security measures on the site include:
Encryption
WordPress.org encrypts sites including custom domains using industry standard algorithms to prevent unauthorised access. WordPress does not allow users to disable encryption
Role-based access
Users access is strictly limited to subscriber status, granting only necessary permissions for users to update their own profile information
Authentication
Users are encouraged to set strong passwords when setting up their accounts
Regular access reviews and site maintenance:
User access and site data is reviewed regularly and updated as necessary. Maintenance checks are carried out weekly and any plugins, themes and site dependencies are updated
Data minimisation
We collect only the data necessary for a user to add profile and contact information as they wishÂ
Network securityÂ
Firewalls and intrusion detection systems are implemented to monitor and protect against unauthorised network access
Data backup and recovery
Weekly backups of site data are maintained to ensure data can be restored in case of a system failure or breach.
Automated decision making or profiling
GUSS does not carry  not carry out any automated decision-making or profiling activities on this website.
How long do we keep data for?
Your data will be retained by the GUSS for as long as the database exists. We will require you to update your details once a year and will delete them if you do not actively do so. After this time, your data will be securely deleted.
What are your rights?
You can request access to the information we process about you at any time by logging in to your profile.
If at any point you believe that the information we process relating to you is incorrect, you can change and correct this by logging into your profile and updating them there. The public profile will be updated within 24 hours (this to allow the moderator oversight over that is displayed on the database).
You also have the right to withdraw your consent at any time by deleting your profile. You will be sent an email asking you to confirm that you wish to delete your profile. Once you have confirmed this, your details will then be deleted from the database and our servers within 24 hours.
If you wish to exercise any of these rights, please log in and delete your profile and/or contact us to let us know.Â

If you wish to raise a complaint on how we have handled your personal data, you can contact us via the ‘Contact Us’ form.
If you are not satisfied with our response or believe we are not processing your personal data in accordance with the law, you can complain to the Information Commissioner’s Office (ICO) https://ico.org.uk/
